Behind the Scenes of Building Game Schedules

From the UCALL President: how District 45 and field availability shape our game calendar

Hi UCA families,

First and foremost—thank you for a great start to the season. It’s been awesome seeing teams out on the fields practicing, learning, and getting ready for Opening Day and the 2026 season.

We’ve also heard the questions many of you have been asking: “When will the game schedules be posted?” That’s a fair question, and in the spirit of transparency, I want to share how schedules are created and why the process takes time.

Scheduling starts at the District level

Union City American Little League is part of District 45. Like many leagues in our district, we don’t always have enough teams within our own league in the Majors and Minors divisions to build a full schedule that is only UCALL vs. UCALL. Because of that, District 45 coordinates interleague schedules for Majors and Minors (meaning UCALL teams play teams from other District 45 leagues).

The District must build these schedules first because they involve multiple leagues, multiple fields, and a lot of shared constraints.

What the District balances when building Majors/Minors schedules

District scheduling is more than “plugging in dates.” It requires balancing:

• The number of teams and total games
• Field availability (across multiple leagues and locations)
• Weekday vs. weekend game distribution
• Game times and daylight constraints
• Travel considerations
• Fairness (trying to ensure equal matchups and similar opponents as much as possible)

The goal is to make sure each team gets a fair and consistent schedule—both in the number of games and in who they play.

Why Majors impacts Minors… and why both impact Farm/T-Ball

Once the District completes the Majors schedule, it directly affects what fields and time slots are still available. From there, the District finalizes Minors using the remaining shared field inventory and time windows.

Only after we have a clear picture of Majors and Minors field usage can UCALL finalize schedules for Farm and T-Ball, because those divisions depend on the same field spaces and time blocks.

So the process flows like this:

District builds Majors → District builds Minors → UCALL builds Farm & T-Ball

That cascading process is the main reason schedules can’t always be published as early as we’d all like.

Our scheduling goals at UCA

As we build UCALL schedules, we aim to:

• Provide a balance of weekday and Saturday games whenever possible
• Give teams opportunities to play on our Majors fields at least once or twice during the season (especially Farm and T-Ball, when feasible)
• Keep schedules stable once published

While we work hard to get schedules out quickly, there are sometimes delays or hiccups—many of which are outside UCALL’s control while District schedules are being finalized. We understand that families plan around weekends, work schedules, and prior commitments, and we do our best to publish as soon as we responsibly can.

How you’ll get updates

The good news is that with our website now connected to Sports Connect and GameChanger, once schedules are published, families will receive automatic real-time updates if changes occur. That helps us make sure everyone gets the same information quickly and consistently.

Once the schedule is posted, it’s rare for games to move — except for weather-related issues.

And if weather does impact games, we’re fortunate to have Spring Break off (April 5–11) built in as a window for potential make-up games.

Thank you for your patience

We appreciate your patience as we work through the full scheduling process with District 45. Our priority is to produce a schedule that is fair, realistic, and stable for every team and every division.

If you have questions about how scheduling works, feel free to reach out. I hope this helps shed some light on what goes into building our game schedules—not only for UCALL, but across District 45.
