Miss Scotties Softball - Board Nominations - Due 11/3 

Miss Scotties Softball is currently accepting nominations for the following two-year term board positions:


Vice President

Treasurer

Travel Director

Concessions

Equipment

Field Operations 

Descriptions of each position are listed below.  If you are interested in submitting your name for consideration, please email [email protected] by Sunday, November 3rd. After reviewing the nominees, eligible parties will be invited to introduce themselves to the current board at the November board meeting.  The voting will take place in December, and the position officially begins January 1st.


Nomination Qualifications:

To be nominated for a Board position the Member must meet the following: (a) Be a Voting Member (see Article III, Section 1 (b) for definition); (b) To be qualified, the member must have participated in the Organization as a volunteer for the past two years. The amount and level of participation will be evaluated. (c) Immediate members of the same family may not serve on the Board at the same time. (d) To be qualified for President and Vice President, the member must have served as a Board Member for at least one out of the last three years. (e) To be qualified for Travel Director, the member must have served as a Travel Head coach or Assistant coach for 2 years. (f) To be qualified for Recreation Director the member must have served as a Rec League Head Coach for at least 1 year. (g) All nominees will be interviewed and evaluated for qualification prior to being put on the ballot

Below is a listing of open positions and their duties.

 
The Vice President shall: 

(a) Perform the duties of the President in the absence or disability of the President. When so acting, the Vice President shall have all the powers of that office;

(b) Be responsible for preparing and implementing a code of conduct that must be strictly adhered to by all volunteers in the Organization; 

(c) Develop and implement a plan for increasing safety of activities, equipment, and facilities through education, compliance, and reporting; 

(d) Be responsible for seeking and obtaining grants for the benefit of the organization. (e) Be responsible for obtaining Sponsorships for the League. 

(f) Other responsibilities as assigned by the Board of Directors.


The Treasurer shall:

(a)Receive all monies and securities and deposit same in a depository approved by the Board of Directors;

(b)Keep records for the receipt and disbursement of all monies and securities of the Organization;

(c)Approve all payments from the allotted funds and draw checks therefore in agreement with policies established by the Board of Directors. All disbursements >$250.00 by check must have dual signatures –one signature shall be the Treasurer’s and the second signature shall be an Officer of the Organization;

(d)Help to prepare an annual budget with the entire Board,for submission to the Membership and the Board of Directors;

(e)Upon request by the BoD, or by a member of the organization, the Treasurer should arrange for an annual performance of “Agreed-Upon-Procedures”. Such procedures should be designed to provide reasonable assurance that the financial transactions of the Organization are accurately recorded and are considered appropriate in accordance with the Bi-Laws and the purpose of the Organization.

(f)Prepare an annual financial report, under the direction of the President, for submission to the Membership and Board of Directors;

(g)Prepare reports consisting of an updated income statement and register of account activity for presentation at the General Membership Meeting;

(h)Other responsibilities as assigned by the Board of Directors

The Travel League Director shall:
(a)Participate in the league budgeting process
(b)Recruit and nominate coaches
(c)Coordinate and communicate tryout process
(d)Represent all teams in the Hudson Mohawk League, all meetings and coordination
(e)Coordinate the availability of tournaments with coaches and make recommendations
(f)Coordinate umpires
(g)Coordinate training and development clinics

The Concessions Director shall:
(a)Coordinate the concession schedule for the Recreation League, Hudson Mohawk and Fall Ball.
(b)Anticipate and coordinate the supply needs for the concession for the Recreation League, Hudson Mohawk league, Fall Ball and Tournaments.
(c)Maintain records of all sales and expenditures related to the Concession
(d)Be responsible for the cleanliness of the Concession according to all regulations.(e)Other responsibilities as assigned by the Board of Directors.

The Equipment Director shall:
(a)Coordinate equipment storage, collection, distribution and procurement of new equipment.
(b)Ensure teams have adequate equipment throughout the season
(c)Coordinate the sizing and ordering of all League uniforms
(d)Participate in the league budgeting process
(e)Other responsibilities as assigned by the Board of Directors.

Field Operations Director:  (Currently open, will be a 1 year term effective immediately)
(a)Coordinate with municipalities and schools to obtain secured rights for fields and indoor/outdoor facilities for games, practices and off –season clinics
(b)Coordinate the improvements necessary to ensure facilities are in suitable condition for league use
(c)Coordinate procurement of required maintenance materials, equipment/tools.(d)Coordinate the regular field preparation activities,lining, raking etc…
(e)Coordinate the scheduling of routine maintenance
(f)Be the League representative/expert for our fields and facilities.
(g)Other responsibilities as assigned by the Board of Directors.
