Introduction

If you’re considering hosting a Tri-County Premier Baseball season championship tournament, this guide is your comprehensive reference. Tri-County Premier Baseball is a travel baseball league, and each year we celebrate the end of the season with championship tournaments for every age group. These events are hosted by dedicated volunteers, whom we compensate with a stipend for each game administered. This document outlines your role, expectations, and the support provided by our organization, to help you decide if hosting is a good fit for you.

Your Role as Host

· Field Space: Hosts are responsible for providing suitable baseball fields for their assigned age group’s games.

· Umpires: You will need to secure qualified umpires for all tournament matches at your venue.

· Staffing: Arrange and oversee staff and volunteers needed for game operations, hospitality, scorekeeping, and safety.

· Venue Administration: You’ll administer all activities at your venue, ensuring the schedule runs smoothly and teams are well supported.

· Stipend: Tri-County Premier Baseball provides a stipend for each game you host, in recognition of your valuable contribution.

· Venue requirements:

o Fixed or portable restrooms for patrons are necessary.

o A staffed and functioning snack bar. In lieu of a snack bar, proximity to food and beverages (Wawa, Royal Farms, etc.) is also acceptable. Note that staffed snack bars have proven to be very lucrative for hosting organizations.

o Ample parking for multiple teams.

Support Provided by Tri-County Premier Baseball

· Equipment: We supply all baseballs required for tournament play.

· Awards: Trophies, medals, or certificates for both champions and runner-up teams.

· Championship Banner: The winning team in each age group receives a custom championship banner to commemorate their achievement.

· In addition to the stipend, TCP also provides funding to the host organization to pay the umpires for their services.

· Pre-tournament mentoring and help with game scheduling and spacing.

Planning Steps for Prospective Hosts

· Review Tournament Objectives: Understand the goals of the championship—competitive excellence, community celebration, and player development.

· Assess Facility Requirements: Ensure your fields meet the standards for tournament play, including safe surfaces, adequate seating, and amenities.

· Organize Umpires and Staff: Confirm the availability of reliable officials and volunteers for all games.

· Prepare for Game Day Logistics: Plan scheduling, signage, hospitality, parking, restroom facilities, and contingency options for weather delays.

· Coordinate with the League: Stay in regular contact with Tri-County Premier Baseball for supplies, updates, and guidance.

Expectations and Responsibilities

· Professionalism: Maintain a welcoming, fair, and safe environment for players, coaches, and families.

· Communication: Keep teams and league officials informed throughout the event.

· Problem Solving: Be prepared to address issues promptly, from weather disruptions to rule clarifications.

· Post-Tournament Duties: Ensure a thorough clean-up and collect feedback to help improve future events.

· Submit photographs and results for inclusion in season ending email, website and social media.
