Emergency Response Procedures
Medical Emergency
- Call 911 immediately.
- Provide:
○ Nature of the emergency
○ Exact location: Jim Hill Field, E 14th St, Clovis, NM 88101
○ Patient’s condition
- Send a staff member or volunteer to direct emergency responders to the patient.
- Retrieve the first aid kit from the concession stand.
- Keep spectators and participants clear of the area.
- Complete an incident report following the event.
Severe Injury
Examples include:
● Head or neck injuries
● Suspected broken bones
● Unconscious participant
● Seizures
● Severe bleeding
Action:
● Do not move the injured person unless there is immediate danger.
● Call 911.
● Administer first aid only within the scope of your training.
● Notify parents/guardians immediately.
Inclement Weather Procedures
Lightning & Thunder
When thunder is heard or lightning is seen:
● All games and practices will stop immediately.
● Players, coaches, officials, and spectators must leave the playing fields.
● Seek shelter in vehicles or substantial buildings.
30-Minute Rule
● Activities may not resume until 30 minutes have passed since the last thunder clap or lightning strike.
If lightning or thunder continues, activities will be canceled for the day.
Heavy Rain
Activities will be suspended when:
● Field conditions become unsafe.
● Standing water is present.
● Visibility is significantly reduced.
League officials will determine whether games may resume or need to be rescheduled.
High Winds
Activities will be suspended when:
● Winds create unsafe conditions for participants or spectators.
● Tents, canopies, goals, or equipment become unstable.
● Blowing debris creates hazards.
All loose equipment should be secured immediately.
Extreme Heat
When temperatures or heat indexes reach unsafe levels:
Preventative Measures
● Encourage frequent hydration.
● Provide water breaks every 15–20 minutes.
● Allow participants access to shade whenever possible.
● Monitor athletes for signs of heat illness.
Signs of Heat Illness
● Dizziness
● Headache
● Nausea
● Excessive fatigue
● Confusion
If heat illness is suspected:
- Move participant to a shaded area.
- Provide water if conscious and alert.
- Begin cooling measures.
- Call 911 if symptoms are severe.
Missing Child Procedure
- Immediately notify league staff.
- Stop activities if necessary.
- Conduct a coordinated search of the facility.
- If the child is not located promptly, call 911.
- Keep parents/guardians informed throughout the process.
Fire or Hazardous Situation
- Call 911.
- Evacuate the area immediately.
- Move participants and spectators to a safe location away from the hazard.
- Do not re-enter the affected area until cleared by emergency personnel.
Communication Plan
In the event of cancellations, delays, or emergencies, Little Ballers Inc. will communicate through:
● Coaches
● League website
● League social media pages
● Email and/or text notifications when available
Responsibility
All coaches, officials, volunteers, and staff members are expected to:
● Familiarize themselves with this Emergency Action Plan.
● Prioritize participant safety at all times.
● Report unsafe conditions immediately.
● Follow all emergency procedures outlined above.
