Rocklane Baseball Board Job Descriptions:
 

Dan Sanders - President & Field Director  (317) 331-4459
 
The President must conduct and preside over all board meetings. The President must go over all agenda items brought up in the meetings. The President will manage and oversee all other board members to make sure their jobs are being done. The President should field all emails and forward to the appropriate individual to be handled. He/she will handle and deal with any problems that arise at the ballpark in a timely manner and must be readily available. He/she will field complaints from parents and coaches and, with the board, resolve all issues. The President will be a spokesperson and representative of the baseball park. He/she will help organize and oversee any tournament that we hold at Rocklane. The President does not get a vote on the board. The President will only vote in case of a tie by the other board members.

Calvin Beaman - Vice President  (317) 910-1734

The Vice‐President will work closely with the Commissioner and League Director in handling all aspects of baseball play at the ballpark. The Vice‐President, with help of Commissioner and President, will handle all issues, complaints, protests, player eligibility issues, etc. that arise in the everyday operation of the ballpark. The VP will work with the Commissioner and President regarding the master schedule of all practices and games throughout the course of the season. The VP must have an excellent knowledge of the rules (PONY). He/she will preside over team drafts and all‐star selection meetings with the Commissioner and President.


Chris Siebe & Anthony Prater - Treasurer Coordinators

Maintain the Rocklane Baseball checking account. Check the post office box regularly. Balance bank statements monthly. Process account payable payments as received. Send billing invoices as needed. Deposit all income generated from various activities. Distribute cash box change for concession stand sales. Count all proceeds and make deposits in a timely fashion. Report monthly all income/expense activities to board members. Keep a log of approved funds separate from the meeting minutes. Maintain/store financial records for a minimum of five years (matching the Indiana State Records Retention requirements). Process calendar year reports for tax preparer.  Make sure papers are filed with the IRS. Oversee maintenance and compliance of bylaws. Assist president/vice president/r secretary with other duties as needed

 

 
Joe Burton - Commissioner  (317) 474-9110

The Commissioner must have excellent knowledge of the baseball rules (PONY). The Commissioner will be responsible for all aspects of baseball play for the leagues. He/she will be the advisor and back‐up to any problems or questions by the President or Vice‐President. The Commissioner will work with the VP and President regarding the master schedule of all practices and games throughout the course of the season. The Commissioner will be heavily involved in making decisions regarding game play, rain delays, rain cancellations, and rescheduling any games necessary. The Commissioner will handle any complaints about coaches and umpires and will handle any game appeals. 


Danielle Huff - Registration Secretary

The Registration Secretary will organize registration, including but not limited to; making sure copies get made, signs get put up, notifications are sent electronically, and copies of fliers get to the schools for the kids. The Registration Secretary will organize all the money from registration and get it to the Executive Board Treasurer for deposit, along with backup spreadsheet documentation. The Registration Secretary is responsible for running registration reports from the online system to provide up to date registration numbers to the board on a regular basis. The Registration Secretary is responsible for sending email notifications regarding and collecting all past due balances. The Registration Secretary will assist the President in the ordering of regular season uniforms and putting volunteers in the correct positions.

 

Dan Sanders - Sponsorship Coordinator

The Sponsorship Coordinator will handle all aspects of our park sponsors and fundraising. The SC is responsible for sending letters out and/or making in person visits to all potential sponsors. The SC is responsible for collecting all sponsor money and giving it to the Executive Board Treasurer. The SC is responsible for ordering the signs for our “board of sponsors”. The SC must ensure that each sponsor receives a thank you letter and an appreciation plaque at the end of the season. The SC is responsible for organizing Sponsor Day at the ballpark, as well as assisting the Registration Secretary in organizing and running Opening and Closing Day.


Dean Sander - Grounds Coordinator


The GC are responsible for the basic care and upkeep of the fields. They are in charge of communicating any supply needs immediately to the Board for ordering (field dry, chalk, etc). They are responsible for helping get any fields ready. The GC are responsible for coordinating work days at the ballpark and giving direction to the coaches and parents regarding tasks that need to be completed.


Chris Capps - Equipment Manager


The equipment manager is responsible for all aspects of equipment handouts. He/She will keep of log of all equipment given to the coaches at the beginning of each season (tees, heart guards, catchers gear, etc), as well as be responsible for making sure all equipment is returned at the conclusion of the season. Equipment manager will assist in assessing equipment. Will also be the person in charge for walking fields and making game day decisions.


EVERY board member is responsible for the ballpark as a whole including trash and maintenance. They represent each other as a whole and will help each other out as a whole. All board members field complaints and discuss as a board as needed. All board members are expected to help organize and host any tournament held at Rocklane Baseball. Each board member will also be available at all registrations and help organize and plan such events. A board position involves a serious commitment of time and is a year round commitment. Fall Ball planning begins in late May and the season is from August through October. Spring ball planning begins in November with registration occurring in late December. The season is from April through October, including all stars
