How to get cleared to coach, manage, or serve on the board โ€” every step, in order, before you set foot on the field.

Who This Covers

These requirements apply to everyone who has regular contact with or authority over players โ€” not just head coaches. If you show up to practices or games in any official role, you need to be cleared before you can participate.

Plans and runs practices, communicates with families, leads the team on game day. Full clearance required.

Supports the head coach at practices and games, helps run drills and manage the sideline. Full clearance required.

Board Members

All Kalama Soccer Club board members must also complete full clearance. This is a federal and state requirement โ€” not just club policy.

โš ๏ธ No clearance = no field access. This is not a formality. Federal law (the SafeSport Authorization Act of 2017), Washington State law, and CYSA/SWYSA policy all require that anyone in a regular supervisory role with minor athletes be trained and background checked before any contact with players. This applies to board members, team managers, and assistant coaches โ€” not just head coaches.
โ„น๏ธ Occasional helpers are different. A parent who helps carry cones once or sits in the stands every week does not need to go through clearance. Clearance Steps โ€” In Order

Complete these steps in order. Steps 1โ€“3 must all show as Verified in SportsConnect before you can trigger the background check in Step 4. Do not skip ahead.

โš ๏ธ Important before you start: All certifications must be completed through the US Soccer Learning Center (learning.ussoccer.com). Certificates from other sources are not accepted by Washington Youth Soccer or CYSA. Also โ€” do not pay for a background check through the SafeSport portal. The background check is handled separately through the WYS Risk Management Application (RMA) system in Step 4.

Create Your US Soccer Learning Center Account Required Free
All training happens through the US Soccer Learning Center (USSLC). Create a free account โ€” or log into your existing one if you've coached before. Your SafeSport ID from any previous training is tied to your account here. Keep your login information somewhere safe; you'll use it every season.

Complete SafeSport Core Training Required Annual
Required by federal law under the SafeSport Authorization Act of 2017. This course covers abuse prevention, appropriate boundaries, recognizing warning signs, and how to report concerns. Takes about 45โ€“60 minutes. If you've completed it before, you'll take the Refresher course instead โ€” check your certificate expiration date. Your SafeSport certificate expires one year from the date you completed it.

Complete Intro to Safety Required Annual
This single course satisfies two Washington State legal requirements at once. It covers:

โ€ข Concussion training โ€” required annually by Washington State HB 1824 (the Lystedt Law) for all coaches, managers, administrators, and board members.
โ€ข Sudden Cardiac Arrest (SCA) training โ€” required annually by Washington State SB 5083 (Sudden Cardiac Arrest Awareness Act) for the same group.

Takes about 30 minutes. Washington Youth Soccer requires both annually. Do not skip this step even if you completed it last season โ€” it must be renewed each year.
โธ Pause here. Log into SportsConnect and confirm Steps 2 and 3 show as Verified โœ“ under your Volunteer tab. It can take up to 48 hours for the USSLC to sync. Do not proceed to Step 4 until both show Verified.

Register in SportsConnect & Trigger Background Check Required
Once your certifications are Verified, log into your SportsConnect account. Under the Volunteer tab, check the box next to Risk Status and click Renew & Update. This opens a form โ€” fill it out completely and submit. This triggers your background check through the Washington Youth Soccer Risk Management Application (RMA) system.

What the background check includes: Criminal history nationwide, plus Washington State founded findings from Child Protective Services (CPS) and Adult Protective Services (APS). A CPS founded finding โ€” even an older one โ€” can appear and may affect your eligibility. An APS founded finding of abuse, neglect, or exploitation can result in permanent disqualification from working or volunteering with children. If you have questions about your specific situation, contact the registrar before submitting.

Cost: The background check through the WYS RMA system is provided at no cost or reduced cost. Do NOT pay for a background check through the SafeSport portal โ€” that is a separate product and does not satisfy the WYS/CYSA requirement.

Wait for Written Clearance Required
Background checks typically process within 24โ€“48 hours but can take up to a week. You will receive written notification when your Risk Status is cleared. You may not coach, attend practices, be on the sideline at games, or serve in any board or official club capacity with players present until you receive this clearance confirmation. This is not a technicality โ€” it is a legal requirement. If you haven't heard back after a week, contact the registrar.

Register Through Your League Required
Coaches must also register with the appropriate league for their age group. This is separate from SportsConnect clearance. See the league section below for direct links. U5โ€“U12 coaches register through CYSA. U13โ€“U19 coaches register through SWYSA.

Confirm with the Club Registrar Required
Once you've received clearance, email Tanaja so she can confirm your status in the club system and assign you to your team. You're not officially on the roster until she's confirmed you on her end. Include your full name, the age group you're coaching, and your role.

Renewal Every Season

Clearance doesn't carry over automatically. Most requirements reset every year. Plan to complete renewals before the season begins โ€” not during it.

SportsConnect Registration Every Season Your volunteer registration in SportsConnect must be updated for the current season year.
League Registration

Every Season Re-register with your league each year before the season. Links below.
Returning coaches: You still need to complete Steps 2 and 3 every year, even if your name is on file from last season. Your prior background check may still be valid โ€” log into SportsConnect and check your Risk Status expiration before re-submitting. If it's still current, you may only need to renew your training certifications.

Kalama Soccer Club plays in two leagues depending on age group. Make sure you register through the right one โ€” and check their coach pages directly for any additional requirements.
