SYA Volunteer Information

SYA is an all-volunteer organization that cannot exist without the contributions from all its members.

All families that participate are required to help in some manner.

Below is a quick help on how to register as a volunteer and a list of the volunteer positions and descriptions of those positions.

The following guide has been prepared to help users register as a volunteer through the SYA Website.

Step 1: Create an Account (Note: If you already have an account, skip to step two).

1. Navigate to the SYA Website:www.simthsburgyouthathletics.org
2. Click on the Register link in the upper right-hand corner.

3. Fill out all necessary information to create an account.

4. Click the Create new account button.

5. Complete the required fields

6. Complete the remaining information and click the Continue button.

Step 2 Choose a volunteer role.

1. Login to the SYA Website, if not already.

2. Click on the Find Volunteer Roles button.

3. Locate the program you would like to volunteer for, and click the + Select button.

4. Click the View Roles button.

5. Locate the role(s) you would like to volunteer for, and click the SIGN UP button for each role

Note: Take note of the different divisions within each program to ensure you are selecting the

right role for the right division.

6.Click the Continue button.

You will be directed to review page. Click the continue button again to continue to the next step.

7. Complete the required information on the Additional Position Information form.

8. Click the Continue button.

SYA Volunteer Role Descriptions

Head Coach: The head coach is responsible for organizing the practices and coaching the games. The coach should have a basic understanding of the game and its rules. Approximate time commitment is 2-3 times per week for 1-1 ½ hours for 10 weeks.

Assistant Coach: Helps the head coach with practices and games. Fills in when the Head coach cannot be there. Approximate time commitment is 2-3 times per week for 1-1 ½ hours for 10 weeks.

Team Manager: Works with the coach to organize the practice schedule. Contacts the parents for the coach. Organizes snacks and drinks for after games. Helps with equipment and uniform issues. Approximate time commitment is 1 hour per week for 10 weeks.

Team Sponsor: Local businesses and organizations sponsor SYA teams. This sponsorship allows SYA to lower the registration fees. The cost for one team is $150. Sponsors for in-house teams have their business name and logo on the shirts. All sponsors receive a picture plaque at the end of the season.

Registration: Create, copy and distribute fliers to all Smithsburg area schools. Answer questions at registration sign-ups. Return phone calls for interested players. Enter data into database. Help with mailings for non-returning players. Approximate time commitment 2-3 hours per week.

Training Coordinator: Create training class for in-house and travel coaches. Should have good knowledge of the game or contacts with someone that has a good knowledge of the game. Approximate time commitment 2-3 hours twice during the season.

SYA Committees: Participate in one of the SYA committees during the year. Approximate time commitment 2 hours per month 11 months per year.

Field Maintenance: Help to prepare the fields for the season by setting up the lines, painting goals, installing nets. Keeps area around goals trimmed. Repaint fields as needed. Helps with seeding and fertilizing at conclusion of season. Approximate time commitment 3 times per season for 2 hours.

Concessions: Help to purchase and prepare food for end of season tournaments. Help to organize and run concessions at tournaments. Approximate time commitment 2 days for 6 hours.

Referee: Basketball, Flag Football or Soccer referee. Need to have an understanding of the rules of the game. Experience as a player, coach, or training as a referee. Approximate time commitment 1-2 hours per week for 8 weeks.

Field Marshal: Attend home travel team games. Make sure that fans stay in designated areas during game. Ensure that fans support their teams in a positive manor, and that they do not disrupt the game. Approximate time commitment 4 games per season.

Steak Feed: Help to organize, and work at our fund raiser at the South Mountain Rod and Gun Club in the fall. Approximate time commitment 2-3 meetings prior to steak feed for 2 hours and day of steak feed for 4 hours.

Sports Director: Work with the Board of Directors to run the day to day operations of the sport. Organize teams, find coaches, create game and practice schedules, registration create budget for sport. Approximate time commitment 2-3 hours per week for 12 weeks.

Assistant Sports Director: Help director to organize teams, find coaches, and create game schedules, registration. Attend monthly SYA meeting when director cannot attend. Approximate time commitment 2-3 hours per week for 12 weeks.

SYA meeting representative: Attend the monthly SYA meetings on the first Sunday of each Month at 7pm at the Leitersburg Ruritan Club. Keep your team parents informed of what is happening with the league. Approximate time commitment 1 hour per month 11 months per year.
